 April 11, 2005  (Volume 2)

IN THIS ISSUE: We are now starting to feel the effects of the new 2-year Statute of Limitations in California. Therefore, it is critical to utilize the Statute of Limitations reporting features of your P.I. Powertool. We have provided below a description of how to enter dates and generate reports for Statutes of Limitations. In addition, a discussion of viewing statute dates in the Calendar is also provided. Be sure and download the " Calendar Filter Selection Result Chart" which explains how your filter selections can affect the display of events in your calendar, including Statute of Limitations dates. Since the first issue of "P.I.P. TIPS" was slow to circulate due to unconfirmed e-mail addresses, we are going to keep the OnLine Survey available for another week to allow all of our clients to weigh-in on their choice of features for the upcoming version of the P.I. Powertool.

HOW THE P.I. POWERTOOL HANDLES STATUTE OF LIMITATIONS DATES

ONLINE SURVEY

ENTERING DATES FOR STATUTE OF LIMITATIONS
Dates for S/L are entered into the Statute of Limitations Screen. The S/L Screen can be accessed from the Client Screen by clicking on the "Statue Dates" button. This is true for the PIP 2000 v1.2 and all versions thereafter. From the S/L Screen, dates can be entered by clicking in the "Statue Date" field and typing in the date. Your version may also have an "Add Statute Date" button, which will place the cursor in the "Statute Date" field for you automatically.
Once you have entered the statute date, you can use the TAB key to move the cursor to the "Statute Description" field to enter the description of the date you are entering. This field has a pop-up menu with pre-defined choices, however, you can add new choices or edit these choices by clicking "Edit..." at the bottom of the menu. When you make changes using the "Edit..." selection, these changes will be saved so that all PIP users on your network can use them.
IMPORTANT: S/L dates must be entered manually. The PIP system does not create or generate S/L dates based upon any other date (ie., date of loss, birthdate of minor, etc.)

SPECIFIC REPORTS FOR STATUTE OF LIMITATIONS DATES
Once S/L dates have been entered, there are different ways of generating reports. If you have the PIP 2002 v1.0 or later, then 2 reports are available to you on the S/L Screen.
The "S/L Report Calendar" provides you with a list of statute dates for a specific date range, which can be limited by case status (ie., only "active" cases) and/or case number. The date range is set to include all statute dates falling within the next 30 days. The settings for this report are presented to you when you click on the "S/L Report Calendar" button. From the settings screen, you can change the date range, case status, and case number. Once you have made these selections, you have the option of generating a report that is either sorted by case or by date. The choice is yours.
NOTE: If you would like to change the default date range, please call HiPerSoft and we will make the change for you.
The "S/L Report All Client" is used to confirm that at least one statute of limitations date has been entered for each case. If no statute date has been entered, then the report will generate a line of asterisks (*********) in the report next to the name of the client(s). Please use this report on a regular basis to ensure that statute dates are being entered properly.

USING THE CALENDAR TO VIEW STATUTE OF LIMITATIONS DATES
Your PIP also has the ability to generate a list of statute dates through the Calendar. This process involves deselecting all of the events to view except for the Statute of Limitations. Depending upon your PIP version, you will do one of the following:
Prior to the PIP 2004, the Calendar Screen contained a "Calendar Selections" checkbox list for all Events that can be displayed by the Calendar. The only event missing from the list is the "Statute of Limitations". This was due to the fact that the system was designed to always include statute dates in the Calendar. Therefore, unchecking all of the Event checkboxes would produce a calendar that only contains statute dates. This affects all views in the Calendar.
NOTE: selecting a specific "Attorney" or "Case Status" will limit the display of statute dates, and should not be used for creating a statute of limitations report.
The PIP 2004 added a button for "Statutes" as a selection in the Event filter list for calendar filtering. As a result, unchecking the "Statutes" checkbox will hide (ie., filter out) the statute dates for all cases. For the purpose of (a) generating a List View report or (b) viewing all statute dates in Day, Week, or Month View, we recommend checking the "Statutes" checkbox, and then checking all boxes in both the Status filter list and Staff filter list. This will ensure that all statute dates are displayed in the Calendar.

To be sure that you understand how the Calendar Filter works, we also suggest that you reference the " Calendar Filter Selection Result Chart". This document provides a detailed description of how the filter selections work.

We are embarking on a Product Development Campaign and would appreciate your participation in our OnLine Survey, which will only take a few moments of your time.

The survey asks you to select from a list of New Features that you would like to see in the next version of the P.I. Powertool.

The list of New Features that appear in this first survey were derived from suggestions received by e-mail and fax from our clients. On a regular basis, we review the suggestions and focus on developing the top 3 requests.

If you would like to send us more detailed suggestions or ideas, please e-mail them to: newideas@hipersoft.com.
